Then it\u2019s time to change your habits.Why? Because <strong>too many emails in your In-Box is discouraging and never ending.<\/strong> Change your email habits and you\u2019ll be surprised at all the benefits.<\/p>\n<p><strong>3 \u201cBig Picture\u201d Steps when Opening Email Each Day<\/strong><\/p>\n<p><strong>Step #1:<\/strong> Delete the spam and useless emails. There should be less and less of this the more you apply the tips below.<\/p>\n<p><strong>Step #2:<\/strong> Move \u201cgood stuff\u201d to a folder titled \u201cTo Read Today.\u201d (If it wasn\u2019t good stuff, you wouldn\u2019t allow it into your In-box, would you?)<\/p>\n<p><strong>Step #3:<\/strong> Respond to emails written to you. Emails to you from \u201cReal People\u201d are where you want to spend your time. Respond to the important and urgent right away and move on.<\/p>\n<p><strong>10 Email Tips to Deal Efficiently with Email<\/strong><\/p>\n<ol>\n<li><strong>Read and Respond.<\/strong> Decide what to do the FIRST time you open an email. Do it now or it will double the time it takes to respond. The key is to pause and decide what action is needed.<\/li>\n<li><strong>Clear it Out.<\/strong> Once you&#8217;ve read and responded, move it out of your In-Box with \u201cDelete or Archive.\u201d\u00a0 Archived ones are still there to search by key word. Gmail now has a \u201cSend &amp; Archive\u201d button that does the work in one click.<\/li>\n<li><strong>Rely on the \u201cSearch\u201d feature to pull up emails.<\/strong> Instead of creating an elaborate File Folder system, learn to search by the person\u2019s name or email.<\/li>\n<li><strong>Tame Your &#8220;Reading&#8221; File.<\/strong> Keep the good blogs &amp;newsletters in this file that pass your way. Read them mid afternoon or at the end of the day. Delete the file contents daily or weekly.<\/li>\n<li><strong>Don&#8217;t &#8220;Over File&#8221; with too Many Specific Folders.\u00a0<\/strong> General folders like &#8220;Responded,&#8221; Holding&#8221;, or \u201cArchive&#8221; are great for once you&#8217;ve responded. Move out emails prior to 3 months ago &#8220;Archive before (date).&#8221;<\/li>\n<li><strong>Create No More than 6-10 Key Email Folders.<\/strong>\u00a0 Create no more than 6-10 folders by project, organization or action steps. It\u2019s time-consuming to put them into any more folders than that.
